Frequently asked questions
Your questions about AI workflow agents
Explore what an agent can do, how a project starts, and what to expect from scope, pricing, data controls, and support.
Understanding AI workflow agents
What is an AI workflow agent?
A custom application that interprets business inputs, retrieves approved information, uses approved tools, and completes defined workflow steps, involving a person when needed.
Is an agent just a chatbot?
An agent can do more than exchange messages. It can prepare documents, update approved systems, and request approval as part of a defined process.
Will an “AI employee” replace our staff?
“AI employee” is informal shorthand for software with limited authority. It has no human identity, judgment, or legal responsibility. Staffing effects depend on the workflow, and people remain accountable.
What if ordinary automation is a better fit?
We recommend conventional automation, another software feature, a process change, or no technical change when that better fits the work.
Working with your team
What is Forward Deployed Engineering?
The engineers who map your workflow stay involved through design, build, integration, testing, deployment, and improvement. Your team’s feedback informs the work throughout.
Do you need to work onsite?
Collaboration may be remote, onsite, or hybrid, as agreed for your workflow, systems, and access requirements.
Is this staff augmentation?
No. We assess or build a defined AI workflow agent with agreed responsibilities and deliverables. The engagement does not provide permanent staffing or an open-ended engineering assignment.
Who needs to participate?
A workflow owner and people who perform or supervise the work. We agree which system owners, approvers, and technical or security reviewers to involve.
Scope, pricing, and delivery
How do we get started?
Begin with a Workflow Agent Assessment. We review the current process, systems, bottlenecks, and desired outcome, then recommend a starting scope.
Can we start with a small pilot?
Yes. Start with one workflow and test integrations, agent behavior, and human approval before committing to broader deployment.
What happens after the pilot?
Results guide whether to refine, deploy, narrow the scope, choose another approach, or stop. Expansion depends on test results and operating feedback.
How is project scope controlled?
A written scope sets the workflow, systems, access, and deliverables. It also defines participants, responsibilities, delivery mode, acceptance criteria, support, and handoff. Additional work requires an approved scope change or new phase.
Can you work with our existing software?
We assess your systems’ interfaces, access permissions, data quality, and vendor restrictions first. Existing software can stay in place where suitable, approved integrations are available.
What determines price and timing?
Complexity, integrations, data sensitivity, deployment, testing, usage, and support needs. We provide a written scope and estimate once requirements are understood, with pilot, production, and ongoing support priced separately.
Data and human control
Can the agent act without approval?
Only within agreed permissions. High-impact, irreversible, unusual, or uncertain actions can be configured to pause for human review, editing, rejection, or takeover.
What happens when something goes wrong?
The workflow can pause, ask for information, return a draft, retry within limits, or escalate to an authorized person. Testing and error handling reduce risk; they do not eliminate errors.
How is our business data handled?
Each engagement defines data sources, providers, permissions, retention, logging, and responsibilities. Access is limited to the workflow’s needs. Your team identifies sensitive, regulated, or contractually restricted information.
Do you guarantee accuracy or business results?
No. We agree on measurable acceptance criteria, test realistic cases, and document limitations. Results depend on your workflow, data, systems, and how the agent is used.
Ownership, handoff, and support
Who owns the solution and what is handed over?
The agreement defines ownership, licensing, repositories, credentials, documentation, training, and deployment responsibilities.
What support is included?
Ongoing support must be expressly scoped. The agreement defines support responsibilities and availability; 24/7 coverage is included only when explicitly agreed.
